A creative agency owner reached out to me with a real problem. His team was using slack to assign tasks, Google Docs for briefs, a separate tool for client tracking and another for deadlines.

Everything was scattered and the team had lost trust in how things were being managed.

He needed everything in one place.

I started by mapping out how the agency actually worked, how clients were onboarded, how projects moved from sales to delivery, how the team communicated internally. Before touching Notion, I wanted to understand the business first.

Then I went ahead with the building. I set up a central client CRM with linked databases for contacts, projects and deliverables. Each client had their own workspace showing contracts, call notes, briefs and delivery status.

I also added a sales pipeline with lead stages, follow up dates and proposal tracking. SOPs and templates lived in their own library, easy to find and reuse.

I connected everything with relations and rollups so the master dashboard showed the team exactly what was active, what was overdue and who owned what, without anyone having to ask.

The team started using it immediately after the handover. No training headaches, no resistance. Just a system that made sense.

That is what I do. I don't build Notion pages. I build systems that businesses run on.
