A client was manually chasing leads by email every day, losing track of who responded and missing follow-ups completely. I built this automated Gmail follow-up system using n8n that solved the entire problem.
When a new email arrives the workflow automatically edits lead fields, appends data to Google Sheets, and sends an instant first reply. It then waits for a response and does a lookup to check the lead status. Based on whether the lead responded or not, conditional logic splits into two paths — automatically sending a second follow-up, updating the sheet, waiting again, and checking again until the sequence is complete.
The result they went from missing leads daily to closing deals automatically. Every interaction is tracked in Google Sheets and the entire follow-up process runs hands-free 24 hours a day.
