Administrative Construction Project Manager

We are a fast-growing boutique Owner’s Representative and Project Management firm in New York City. We manage high-end luxury residential and commercial construction projects. We are seeking a highly organized, sharp, and proactive Administrative Coordinator to manage our backend project operations and document control so our field teams can focus on execution. Key Responsibilities: Take raw notes/recordings from Owner-Architect-Contractor (OAC) meetings and turn them into clean, professional minutes with clear "Who/What/When" action item logs. Document Management: Organize and maintain project folders (drawings, specifications, change orders, and submittals, RFIs, schedules) in Google Drive. Lead Tracking & CRM: Maintain our master lead tracker, updating status notes, follow-up dates, and basic metrics. Proposal Support: Assist in drafting and formatting clean, elegant project proposals based on our existing templates. Schedule Transcriptions: Update baseline project timelines and look-aheads based on text updates from the field team. Qualifications: * Exceptional written and verbal English communication skills. Prior experience working with construction, architecture, real estate, or project management firms is a massive plus. Advanced proficiency in Google Workspace (Docs, Sheets, Drive). Obsessive attention to detail—you hate disorganized files and typos.
