IT Expert Needed: Automate Nightly File Sync (Local PCs to Google Drive)

Project Objective: Automate the daily extraction, transfer, and remote storage of video and data files from two localized HitTrax systems to a centralized, remote-accessible repository without interrupting daily facility operations. 1. Project Scope (In-Scope) The contracted IT Vendor will be responsible for the following: Infrastructure Assessment: Evaluate the current local network, ISP upload bandwidth, and the operating systems of the two HitTrax kiosks to determine the optimal transfer method. Storage Provisioning: Recommend, provision, and configure the centralized storage solution (e.g., Google Workspace Shared Drive, AWS S3, or a localized NAS with secure cloud-routing capabilities). Automation & Scripting: Deploy a lightweight, automated synchronization tool (such as Rclone, rsync, or a native cloud backup agent) on both HitTrax machines. Scheduling & Throttling: Configure the synchronization to execute nightly (e.g., 1:00 AM EST) and implement bandwidth throttling if necessary to prevent network timeouts. Logging & Alerting: Implement a reporting mechanism that sends an automated email or SMS alert to Infinite Hitting management if a nightly sync fails, stalls, or completes with errors. Testing & Validation: Perform end-to-end testing to verify that video files (.mp4/.avi) and data files (CSV/XML) from both batting cages are successfully copied, uncorrupted, and remotely accessible. Documentation & Handoff: Provide a brief runbook detailing the setup, where scripts are located, how to access the storage remotely, and basic troubleshooting steps. 2. Out of Scope Modifications, updates, or troubleshooting of the proprietary HitTrax software. Upgrades to the facility’s general network hardware (routers/switches) unless explicitly agreed upon as a change order. Manual organization or tagging of the baseball/softball video files post-transfer. 3. Client Responsibilities (Dependencies) Provide administrative credentials for both HitTrax machines. Provide access to the facility's network equipment and ISP details. Provide an existing Google Workspace/Drive account with adequate storage, or approve the budget for the recommended external storage solution. 4. Project Deliverables Fully configured and automated nightly backup routines on two HitTrax systems. Secured, remotely accessible storage environment containing the synced data. Active error-alerting system. Standard Operating Procedure (SOP) / Runbook documentation.
